3 mistakes to avoid in an improvement project

An improvement work should favor workplaces to develop in the long term in an organization. Businesses that do not have a functioning improvement process tend to have less committed employees and a workplace that does not develop for the better. Improvement work thus helps a business to identify problems that can be fixed and improved, as well as to preserve committed employees. Through this, a workplace will be able to reach the set goals in a faster and more efficient way.

Why is improvement work important?

Improvement work is an important factor in a workplace to develop different areas for the better. Improvement work involves identifying, preventing and implementing measures, as well as creating clear goals that must be realized in the workplace. Using employees' thoughts and opinions, an organization can identify problems that need to be addressed to improve the workplace for all employees.

Measurable results that can be evaluated are an important part of improvement work. In order to create a plan that is both long-term and short-term, a good technique and methodology is needed. To achieve this, a business should plan a well-functioning system to work as efficiently as possible with workplace improvements. The quality of everything in an organization must be constantly improved and it is important that everyone is motivated to participate in the improvement work. All employees of a company should want to participate in the process and not just top management.

Develop with improvement work

What should be done to produce a functioning improvement work and what should be avoided? Starting the process can be difficult and the question of how to start an improvement work can be even more difficult. Like all other mistakes, these mistakes can also be avoided quite easily. Listed below are three mistakes that should be avoided to improve a workplace, as well as suggestions for what can be done to avoid repeating these mistakes.

Employees are not included in the process

A common mistake when an improvement project is to be carried out is that all employees in a workplace are not involved to share their views. Most of the time, only the senior management in an organization works with the improvement work and then not everything that probably needs attention comes to light. The employees who work daily in the working climate usually have the best points of view for developing the workplace going forward, and if they are not included in the process, it is likely that what actually needs to be improved will not come to light. The business will not benefit if it misses out on employees' contributions of opinions.

Do instead!

It is better that employees become involved in the improvement work because they are an important part of a functioning business. It is better to involve the people who work in the environment to be improved, because employees see problems that managers do not. By involving them in the improvement work, the important points of view come to the fore. The best thing a business can do in an improvement effort is simply to include all employees, engage them and enjoy a better workplace in the future.

Small comments are not taken seriously

In connection with including all employees in the improvement work, it is equally important to take advantage of all kinds of views that come forward, big and small. A common mistake is that small points of view are not considered as interesting as the larger points of view. Despite this, all points of view are equally important to be able to improve development in an organization, be it from top management or from employees. Everything from opinions about a better working climate to where the outerwear should be hung are equally important and should be discussed in an improvement project.

Do instead!

Remember that no point of view is too small to be discussed and implemented. An organization should take into account big and small opinions of all employees and work based on it. Working with something that is not talked about can be beneficial, but the focus should be on the opinions coming from the employees. What should be kept in mind is that the quality of the entire organization increases the more measures are implemented. Don't throw anything small away because that point of view could be the key to a better workplace for everyone. What can help in identifying opinions from employees is to conduct employee surveys in an improvement project, which leads to the business being able to easily get an overview of employees' thoughts, opinions and suggestions for improvement.

Slow feedback reduces interest

Another common mistake made in an improvement project is that the results are not fed back to the employees. Often it takes time for management to give feedback, sometimes they may not do it at all, which can lead to employees losing interest in participating in future improvement efforts. If the employees who have expressed their opinions do not find out about what has or will be fixed immediately, then their commitment decreases and this can result in it becoming more difficult to improve the workplace without their input and opinions.

Do instead!

If the business has asked employees to present their opinions and suggestions for improvement, it is fair to present the conclusion as quickly as possible about how and what should be done in the improvement work. Giving feedback quickly also makes it easier to move forward in the process and implement the measures. Rather, give feedback several times during the year, perhaps even monthly, to update employees on what has been fixed and on what needs to be done going forward in the improvement work.

Start small and work your way up

It is easy to make mistakes in an improvement project if the commitment to carry out the work is not there on the part of employees or the management. There are many common mistakes that can be easily fixed, but starting the process can be difficult if a business doesn't know how to go about it. The top management can thus start with:

  • Involve all employees in the improvement work.
  • All big and small points of view are equally important.
  • Feedback as soon as possible.

So to avoid making more mistakes in the organization's improvement work, management can start with something simpler and grow as the work progresses. Improvement work has to start somewhere in order to develop, and with the help of the tips listed above, businesses can quickly and easily start effective improvement work!
